Affiliate Shared Drive

Only approved Affiliates will be granted access. The Affiliate shard drive has the following information:

  1. SOAR Funding Guide
  2. Previous SOAR training (including Risk management, Event Planning 101, Redefining programs with impact, etc.)
  3. Guides on best practices when working with minors
  4. Zoom games & energizers cheat sheet
  5. Budget templates
  6. UCI-approved vendor lists

If your organization has been approved but has trouble accessing the drive, please email soaring@uci.edu 

Purchase Request Form

Submit your Purchase Request for purchases using this form. Only Affiliate organizations that have completed their funding awards may submit this form. If you have any more questions, please reach out to the Affiliate Co-Chairs.

Risk Assessment Intake Form

Submit your Risk Assessment In-take form if your organization would like to request a Waiver of Liability or Media Release Waiver for your program. 

Organizations must submit a new waiver every year. Meeting with SOAR Staff & Risk Services will be scheduled on Wednesdays between 3-5 pm. After you submit your intake form, please check your email for the next steps in getting your waiver.

SOAR Equipment Loan

SOAR’s Equipment Loan Program aims to ease some financial burdens that SOAR-affiliated student organizations may face by making specific equipment readily available. This program offers affiliated student organizations the option to borrow equipment for the 2025-2026 academic year.

The equipment that SOAR offers to affiliated student organizations consists of the following:

  1. Canopy
  2. Wagon
  3. Table
  4. Bubble Maker (no liquid provided)
  5. Balloon Air Pump
  6. Walkie-Talkie
  7. Canopy Weights
  8. Fog Machine (no liquid provided)

Only 3 signers/members of affiliated student organizations must read and sign this Equipment Loan Contract via DocuSign before submitting the request to check out SOAR equipment. Only RCO board members and general members who have signed the equipment loan agreement can initiate the equipment check-out process. Once the contract is signed, you can submit your  Equipment Reservation Request Form.

Insurance Coverage

Hosting an event on campus or off campus? Please ensure you connect with the SOAR office and Risk Service to understand the requirements regarding the insurance needs of your program. Navigate to the Campus Connexions website

On-Campus
The University of California has created an insurance program to cover Registered Student Organizations (RSO) for most on-campus events. Events covered by the policy are paid for by the University. However, RSOs are responsible for making sure their event is covered.

Off-Campus
The University of California does not provide liability insurance coverage for the off-campus activities of student organizations. Although the University cannot require that student organizations obtain insurance for off-campus events, having insurance is recommended, especially for events involving physical activity. In some cases the student organization may have no choice but to obtain insurance because the outside facility hosting the event requires proof of coverage before allowing the event to occur.
The University provides this website so student organizations can purchase insurance for off-campus events. It is best to start the process at least 7 to 10 days before the event. 

UNLIKE ON-CAMPUS STUDENT EVENTS, OFF-CAMPUS EVENTS ARE NOT PAID FOR BY THE UNIVERSITY. You must pay for the coverage by credit or debit card.

One-day retreat to orient approved affiliates to the mission of SOAR, affiliate requirements & grant process, and gain insights into current impacts in higher education.
